Make the Most of Your FTP Server Space
How many of your employees need to wade through an army of icons on their desktop to locate a file because they store everything on their personal computers? How many of them have run out of email space because they want to save all their attachments? Do they even know you have that brand new FTP server space? Probably not. FTP servers are wonderful storage and transmission tools that help companies share information, yet most employees don’t even know they exist. Spread the word and start mandating the use of your FTP server to create a universal resource library and keep your company’s information organized and easily accessible.

FTP server space can run from between one gigabyte to one terabyte depending on what your company has paid for. With this space, you can keep a wealth of information stored at your fingertips. The best part is, it can be accessible anytime, anywhere, regardless of whether you are signed into your work email or even your work computer. You need to make the most of this awesome power and start uploading and sharing key files.

But what should you upload? The answer to this question depends largely on the type of business you run, but a good first place to start is with the training and continuing education materials. Making a file on your FTP server into a reference library will allow your staff to answer their questions easily, brush up on their trained skills when they have the inclination, and quickly train new team members. Since FTP can hold any type of file, you can upload everything from the company’s mission statement to audio messages from the CEO to continuing education lectures. Making room for a white paper repository is also a great use of the space.

Another way to make the most of your FTP server space and keep your staff informed is to create a related news folder. In it, you can add published articles that mention your company or are relevant to happenings in your company’s field. This is a great way to increase the knowledge of your staff without requiring them to wade through pages of online news results or multiple newspapers.

Many businesses share progress reports, quarterly sales figures, or office memos through their FTP server space as a way to make the information available to all company members without spamming them. Special encrypted FTP lines can be contracted from your FTP service to ensure that this confidential information is transferred securely. Also, an FTP server or a business FTP site can be made accessible with a password only, helping you keep peace of mind that your files are safe.

One of the best things to do is to encourage each of your employees to make their own file on the FTP server space to provide a place for them to store their files and keep their inboxes and desktops clean. Having them upload their files onto the FTP server is also an effective way to backup their files in case of an email outage or computer failure.

Making the most of your company’s FTP server space can truly help increase communication among your staff and also provide a safe, secure, and easily accessible location to store and organize the key files not only of your company but also of your individual employees. But in order to get people to use it, you need to encourage them to do so. Talking up the FTP server in meetings, memos, and emails is the key to making it successful. After all, you are paying for this space; you might as well optimize it!
